What the role actually covers.
Before the venue
Objectives, audience, budget architecture and success measures agreed first. Venue selection made against a defined programme is a different exercise from venue selection made against a guess at headcount.
Budget discipline
Structured by category with contingency named as a line rather than absorbed. Most overruns are not overspends — they are unbudgeted items appearing in month four.
Supplier accountability
AV, staging, catering, decor, transport and registration briefed against one master timeline with one escalation path, so no two vendors each assume the other is covering the same item.
Technical specification
Staging plot, lighting, audio patch, video flow, comms, power and rigging documented and issued as a requirement, which also lets you compare vendor quotes like for like.
Run-of-show
Minute-level, version-controlled, with every cue owned by a named person. Ambiguity in the owner column is the most common cause of a missed transition.
On the day
